Create a New Holiday or Special Event Plan (4-17-2019_

This article will show you how to create one-time plan for your additional team/s and time/s that occur during 
a holiday or special event weekend.

1. How To Go Into A Campus Folder

Click on Folder Name to Open Folders

If  you can't see the folders when you first open PCO, click on Plans, then LifeChurch on the right side.

To get out of folder click Life.Church

Click on your Ministry Team

Expand CAM - Host Team Holiday (Your Ministry Holiday)

1.1. Add Plan

Click the Add a plan button

  1. Select how many plans you want to create - most likely this will be 1.  Each plan includes multiple teams/times - Christmas would be 1 plan.
  2. Select the service times you want copied to this plan - If you had services for this time last year, you can select that one.
  3. Starting On -When you select "None (no times)" leave the starting on blank.
  4. Choose Template - Again, we're going to edit the teams and times so I am going to set this to No Template.  (this will automatically enter a date based on what you entered in the line above.
  5. Click Add 1

The next step shows the changes.

1.2. Add Teams

Click on the Team's action wheel

 

You will see all teams that have ever been used.

Edit any of these teams or add a new team.

To edit an existing team, click on the team, then click the edit pencil next to the name of the team

 

Change the name of the team as needed and click Save.

To return to your teams, click the link above your time.

1.3. Adding a new team

1.  Add a name for your Team.  i.e. Easter Friday 5:30 pm

2.  Click Copy (this will copy all your positions)

3.  Click the Drop Down and select NOR - Host Team (or LifeKids, etc)

4.  Select a team - This will pull in all the positions.  If you don't want to pull in all the volunteers who have been scheduled on your other plans, use the generic plan.  I.e. CAM - LifeKids Holidays or CAM - Host Team, etc.

5.  Click Submit

If you already have teams from the pasts year, you do not need to add new teams.  Edit the date/times
on the ones that are there.

Verify that the team leaders are correct by clicking on the Team Leaders area and add or delete people as needed.

Select each Team to see Team Leaders.

To add additional teams, click on the CAM > CAM Host Team > CAM Host Team - Holiday link to return to the teams page.

Repeat steps above to add an additional team.

It is recommended when creating holiday schedules to only add the additional service teams and use your normal weekend plan for the regular teams/times

1.4. Specify Needed Positions

Click on Plans in the header bar

Select the plan you just created.

1.4.1. Add needed positions for each role for each experience time

Hover over Add People under the Teams bar

Select Needed Positions

Indicate the needed number of people next to each position for the times applicable to this holiday.

Repeat for each experience time for this holiday

Click Accept to save

1.5. Adding times to your plan

Click on the Service Time that you created at the beginning.

1.  Select the correct date and time for your Holiday schedule

2.  Type in the name of the experience time

3.  Indicate for each time, how many days prior you want the reminder notification to go out.

4.  Click Save

Add any additional times for that date.

Click on Add a time

Repeat steps above for the new time.

Repeat step above for each service time.

1.6. Start adding people to each time and position

Click the gray People button at the top of the column to see your teams and list of people to add.

1.7. Search for name, then drag and drop into the correct team and position.

To delete a Service Time, open and click delete in the bottom left corner.

To Delete a time, click on the time to open

Click delete in the lower left side of the screen.
