Workflows - Creating a Commit to Christ Workflow

1. Create a New Workflow in HubSpot

Create a standard workflow and give it a descriptive name (e.g. SBA - Commit to Christ). If you've never created a workflow before, follow the instructions on the Workflows Overview page.

2. Set Enrollment Triggers

Communication Card contact items always have these two contact properties associated with them.

  1. A campus property for which campus a Communication Card was filled out at.
  2. A date property for when the Communication Card was filled out.

For commits to Christ, those two contact properties are:

  1. Communication Card - Commit to Christ Campus
  2. Communication Card - Commit to Christ Date

2.1. Click Contact Property

2.2. Click Dropdown

This is a quick way to find a contact property.

2.4. Click "Communication Card - Commit to Christ Campus"

2.5. Click on the "is equal to" Dropdown

2.6. Type in Your Campus Code and Hit Enter

2.7. Scroll Down and Click Done

2.8. Click AND

2.9. Add "is known" Trigger

Repeat the steps above to add a Communication Card - Commit to Christ Date is known trigger. When done, the enrollment triggers should look like:

2.10. Click AND Again

2.11. Add "is less than 8 days" Trigger

Add another trigger using the Communication Card - Commit to Christ Date property. This time around, choose the "is less than" option and set it to eight days. The enrollment triggers should now look like this:

When using date properties in workflows, it's important to put a date restriction on them (like less than eight days). While we try to ensure our F1/HubSpot integration works properly, occasionally date properties get zeroed out only to be re-added again. Without a date restriction, a contact might get a follow-up email even though they requested it a month ago.

These enrollment triggers will automatically enroll people who fill out a physical or digital (if supported) Communication Card. Visit the Digital Communication Cards page for a list of supported contact items.

3. Enable Re-Enrollment

3.1. Click Change re-enrollment options

3.2. Check the Commit to Christ Date Checkbox

Be sure you check only the Communication Card - Commit to Christ Date is known checkbox. Leave the campus checkbox unchecked. The final screen should look like this:

3.3. Click Done

4. Click Save

5. Click Add an action

6. Click Send email

7. Search for the Target Email

8. Click the Radio Button Next to the Target Email

9. Click Save

10. Add Unsubscribed and Bounced Email Notifications

11. Review and Test the Workflow

Follow the instructions on the Workflows Overview page.
