Understanding Follow-Up Workflows

The Follow-Up Workflow has been automated to create a card (person) on the Workflow the first time they volunteer. Each step of the workflow is created to create automatic reminder to follow-up with these new volunteers.

Please do not make changes to the Follow-Up Workflow Titles or Steps. It is vital that these remain the same for automation process to work.

Understanding Your Workflow

Click on the name of the Workflow to open it.

What are Steps

Steps are the visible list of tasks that will be done on each card (card represent new volunteers) as the card moves through the follow-up process.

Clicking on a step will show you:

  1. The title of the step.
  2. The amount of time each card will be "snoozed" before it becomes active and ready to work. Each step on the follow-up workflows are set to snooze the card for 3 months.
  3. Who the step is automatically assigned to - This is called the Default Assignee.
  4. Your name and how many cards are assigned to you. If you click the dropdown arrow, You'll see all people with cards assigned to them.
  5. How many cards of your cards are ready to be worked in green.
  6. How many of your cards are snoozed in grey. (Note: This grey number is different than the grey number that shows up on #4. If a number is greyed out on #4, is means it isn't asigned to you. It could be snoozed or ready.)

Understanding "Visible To"

In the Follow-Up Workflow, under the list of steps is a section that lets you know who can and can not see your Workflow.

You will want to add the Leaders that will help with volunteer retention follow-up. Instructions on adding people are included in the next article Giving Permissions to Planning Center - People/Workflows.

Removing ability to see workflows is done by clicking the X to the right of anyone's name under Visible To. Please do not remove the names of the Workflow Administrators. To see the list of Workflow Administrator names, click on the link below.
